Managing Vaccine Compliance in Your Workplace

Like many organisations, agility and adaptability became our focus during the pandemic – and continues to be as the vaccine is rolled out.

As a tech company, Pegasus has pivoted our products and services to where they are most helpful. These may be strange times, but keeping workers safe will always be our focus – no matter the circumstances.

With flu season just around the corner, a new challenge presents itself – ensuring workers have had their flu and/or COVID vaccine.

 

Here’s how Pegasus is keeping workforces safe this winter

Our client, Lendlease, asked our e-Learning team to come up with a solution for collecting evidence that workers at their retirement villages had had flu shots. This vital evidence was needed to keep vulnerable residents safe.

In response, in our Learning Management System (LMS), we developed a short course which asks workers if they have had the flu vaccine, and if so, to provide the date and a certificate as evidence.

If a worker has had their vaccine and can upload evidence for verification, they pass the course and can access the retirement villages.

If a worker has not had their vaccine or cannot provide evidence, they fail the course and can complete it again only when they have had their vaccine. Until that time, they will not be allowed to work on site.

The course gives our client certainty that only those who have had their vaccine are coming near vulnerable elderly residents.

Pegasus enables clients who are managing workers in our systems to add evidence of any vaccine as a competency. This can be linked to their profile, and their site access role; no vaccine, no site access. Simple.

New Tool for Worksites in the Fight Against COVID -19

The outbreak of COVID-19 has impacted daily life all around the globe. Our thoughts go to everyone who has been affected by the spread of the virus.

During this time, Pegasus will continue to adapt and develop our software solutions to ensure our clients are able uphold the highest level of safety in their workplace.

Pegasus was recently asked to find a way to help monitor the health of our client’s workers amidst the COVID 19 health crisis- and we have responded by developing a customised thermal imaging camera.

These cameras will test and evaluate worker’s temperatures before entering a site – preventing potentially sick workers from infecting others.

As we continue to develop this new product with the intention to have full integration capability with the Pegasus kiosk and turnstiles, we are also working to scale the solution to more sites across the country.

New Company Relationships Feature in Roles Portal

Company Relationships

With the Company Relationships functionality, contracting companies can allocate another company as their Parent Company (my company works for…) or a Sub-Contractor Company (my company engages…).

When enabled, this allows Pegasus clients to track the hierarchy of contractor relationships when viewing companies that work for them in our system. Reporting on these relationships is available for Pegasus clients as the feature is enabled.

Saving Days of Administration Time With Pegasus

Savanna Energy is a global leader in energy services, specialising in drilling and well servicing. With operations in the USA, Australia and Canada, they first introduced the Pegasus system to their Toowoomba, Australia operations in February 2017.

Initially Savanna Energy was using the Pegasus solution as a database of workers.

Inputting the data of 450 workers after their various classroom inductions was an overwhelming and time-consuming task – not only for Training Administrator Kimberly Hennig, but for the workers who had to come in to complete training every couple of weeks. And while Savanna’s focus on safety and training was essential, all this equaled time way from the field where workers were needed.

“Working alone, the data entry was extremely high,” said Kimberly. “I could spend one or two days entering 100 – 200 certs.”

This is when Kimberly started investigating exactly what Savanna had with Pegasus, and the potential to save time and streamline processes was realised.

 

The Solution

Savanna Energy Training Administrator Kimberly Hennig realised the potential of the Pegasus system when she took over responsibility for it. Her first step was to discover which manual processes could be replaced with simple, online and automatic solutions.

 

Hours Saved With Online Training

“It (the online induction booking process) is very simple to use,” said Kimberly.

“It allows you to add just an individual worker or a crew, and it saves so much time.”

“I can go through and see who has and hasn’t completed each induction, simply resend it to have it done and sorted from their computer or mobile.”

“Simple. It’s done.”

 

Automatic Processes for Insight and Quality

Moving inductions online allows for the auto-booking of training, and the auto-updating of worker records in the Pegasus system – complete insight into their safety and compliance.

“We were using Excel and manual processes,” said Kimberly. “Now it’s all automatic.”

A training matrix in the Pegasus system determines which workers require which online inductions, depending on their Savanna work role. With the click of a button, inductions are booked and training links sent to workers to complete at any time, from any device.

With this amount of workforce information available in the Pegasus system, reporting allows Kimberly to analyse and present data in meaningful and actionable ways – understanding and identifying skills gaps and enjoying an at-a-glance view of the workforce.

And the results speak for themselves – now when Kimberly needs to manage the skills and safety of Savanna Energy’s workers, it’s a simple, automatic and fast process.

Insights into Pegasus Data: January 2020

A review of the data from Pegasus systems for January 2020.

As we start a new year it is always insightful to review our data against the previous year. Some interesting stats compared to January 2019:

• The average shift time has dropped from 12.58 to 9.40 hours

• There’s been an increase of 600,000 logins and 20,000 workers compared to January 2019

• We’ve noted a 100% increase of workers in the construction sector
